Managing company vehicles in Nigeria: stop losing money on fuel, repairs and expired papers

Vehicles are often a company's second-biggest cost after salaries — and the least watched. Here is where the money leaks, and five simple habits that stop it.

Why fleet is a people issue, not just a car issue

Every vehicle has a driver, a manager who approves spending and an admin officer chasing papers. When records live in notebooks and WhatsApp chats, trust breaks down: managers suspect drivers, drivers feel accused, and nobody can prove anything. Clear records protect honest staff and make accountability fair.

The four places money quietly leaks

Fuel that nobody can explain

Cash handed to drivers with no log of litres, mileage or receipts. Small gaps every week become millions a year.

Emergency repairs

Skipped servicing turns a cheap oil change into an expensive engine job — and a vehicle off the road for days.

Expired papers at checkpoints

Insurance, roadworthiness, vehicle licence and hackney permits expire quietly. The fine, the delay and the bribe pressure cost more than renewal.

No driver accountability

When nobody records who drove which vehicle and when, damage, fuel and missed trips have no owner.

Five habits that stop the leaks

  1. 1

    Give every vehicle a file

Plate number, model, purchase date, current mileage, and copies of every paper with its expiry date.

  2. 2

    Log every litre

Each fuel purchase: date, litres, amount, mileage and driver. Compare kilometres per litre month to month — sudden drops are your warning sign.

  3. 3

Service by schedule, not by breakdown

Set servicing every few thousand kilometres or months, and record what was done, by whom, and the cost.

  4. 4

    Assign drivers formally

Keep each driver's licence, expiry date, guarantor and the vehicles they are allowed to use. Link trips and fuel to a name.

  5. 5

    Get alarms before deadlines

Reminders 30 and 7 days before any paper or licence expires mean renewals happen calmly, not at a checkpoint.

Your 15-minute monthly checklist

  • Check every vehicle's papers expiring in the next 60 days
  • Compare fuel spend per vehicle with last month
  • Confirm which vehicles are due for servicing
  • Review repair costs — is one vehicle costing more than it is worth?
  • Confirm every driver's licence is still valid
